Our client is the UK arm of one of Europe's largest and most successful IT Services Organisations. The UK is one of the fastest growing and most strategically important markets for the Group, delivering a full range of IT Services to many of the UK's leading organisations. They are looking to recruit a Receptionist / Administrator.
Responsibilities of the Receptionist / Administrator:
- Supporting the Senior Coordinator with managing the Profit & Loss Account for the region (entering project time and expenses) and completing monthly forecasts using in-house software (full training will be provided).
- Credit control – taking ownership of the debtors report for the London & South East Region Business Unit and contacting clients with outstanding invoices, allocating credit notes and liaising with our Accounts Departments.
- Staffing the reception area at all times; meeting and greeting all visitors, providing refreshments and organising lunches, as requested.
- Taking phone calls on Switchboard - be responsible for the taking and transfer of phone calls, passing on messages if required by email.
- Raise ad hoc invoices, obtain numbers, type and pass back for authorisation. Copy and distribute as necessary
- Collate Purchase Orders with delivery notes and invoices, check, code and pass for payment. Issue Fixed Asset numbers to goods as and when necessary.
- Hold file of hardware/software maintenance agreements. Check incoming invoices, code up and file copy in appropriate file before passing original for payment
- Maintain Approved Suppliers List and create form for any additional suppliers that managers feel may be required to be added at a future date
- Act as the H&S site representative dealing with various matters pertaining to health & safety and ensure that any serious issues are forwarded onto the Company's H&S officer
The ideal Receptionist / Administrator will:
- Be well-presented, professional appearance
- Have the ability to maintain confidentiality and be discrete
- Be flexible
- Have the ability to work under pressure at busy times
- Display confidence when dealing with difficult situations
- Be enthusiastic, keen to take on responsibility
Mandatory Skills:
- Excellent interpersonal skills with a good telephone manner
- Ability to work to strict deadlines
- Ability to interact in a professional manner with staff at all levels and visitors
- Accurate word processing skills using word for windows
- Aptitude for use of IT, particularly e-mail and Excel packages
Desirable Skills:
- Experience of delivering front of house, reception an advantage
- Good all round experience of the Microsoft Office Suite
