A position is now available for a Personal Assistant/Administrator/PA – Legal/HR based in the company's head office in Dudley, West Midlands.
The aim of the role will be to provide an efficient and effective secretarial and administrative support to the Legal and HR team.
Main accountabilities of the post
- Provide an efficient PA/secretarial and administrative service to the Head of Legal that supports her effectiveness, and to the department as a whole, (including preparation of correspondence, coordination and distribution of reports for Board and other meetings, organising meetings, minute taking, day to day diary management and arranging travel and accommodation as required).
- Opening and distributing post received within the department in a timely manner, action items on a pro-active basis as appropriate.
- Maintain a comprehensive current and archived filing system (both in hard and electronic format) that supports proper tracking of legal/HR issues and maintains confidentiality
- Develop (with assistance from IT as required) and maintain a database that allows ready access to key contracts/documents (including company secretarial/licences) and highlights impending important dates for action.
- Assist with the development of a system to track potential impact of changes to documents/processes on linked documents/presentation materials/training/internet pages.
- General administration and ad hoc departmental duties including processing and maintaining a record of invoices/ongoing costs.
- Deal with communications, both internally and with external customers and advisers, in a professional and experienced manner.
- Deal with the day to day administration of health and safety and ISO 9000 issues.
- Day to day point of contact for cleaning, catering and maintenance departments.
- Identify and implement improvements in departmental administration and processes that enhance efficiency/effectiveness.
Knowledge and skills required for the post
- Education/qualifications needed for job: RSA typing/audio typing, good standard of English language.
- Previous experience of a legal environment working at senior secretary/PA level essential, experience of company secretarial environment an advantage.
- Excellent organisational and administrative skills.
- Good working knowledge of all Microsoft Office applications. Some experience in using databases an advantage.
- Experienced, committed and flexible secretary/PA capable of communicating effectively at the highest level of an organisation. Able to be trusted to deal with highly confidential information.
