A competent and computer literate administrator is required to establish and maintain the role of practice manager for a small firm of accountants in Witney, Oxfordshire.
The main duties of the role are the management of a small administrative team and the arrangements for office, computer network and premises administration. Training will be given, and the post is full time (8.30–5.00, but flexible) and commands a salary in the range of £18,000-£25,000 plus bonus if results achieved.
Further requirements of the role will involve you in the following:
* Office Administration – including co ordination of:
- Secretarial arrangements
- Routine mailings
- Reception
- Post and deliveries
- Stationery and office supplies
- Filing and storage of documents
- Team meetings
- Development and documentation of systems
- Refurbishment programme
* Computer network administration
- Resolving routine network and printer problems
- Supporting other team members with expertise on
> Microsoft Office programmes
> Iris accounting software
> Internal accounting software packages
- Organisation of computer files and templates
- Development of new templates
(Training on programmes will be given and expert IT help is available externally)
* Outsourcing arrangements – including co-ordination of:
- Tax return documents, scanning and upload/download
- PAYE – upload/download
- Secretarial outsourcing, upload/download
- Control of documentation
- Workflow management
- Satisfactory turnaround
* Building Maintenance – responsibility for arranging maintenance of:
- Fabric of building – internal and external
- Alarm and CCTV arrangements
- Electricity and other supply arrangements
* Internal Accounts
- Oversight of routine monthly processing, currently using Iris and Sage
- Preparation of monthly management accounts
- Credit control
* Marketing
- Maintenance of database
- email campaigns
- Distribution of newsletter, and other mail shots
- Arranging seminars, business builder forums etc
