Legal Secretaries

My client is a leading regional law firm in the South East. They currently have 38 partners and employ approximately 300 staff based mainly in our head office in Tunbridge Wells. They also have an office in London.
They are a top 100 law firm and are highly ranked in all the legal directories for providing clients with the highest quality of legal services for both commercial and private clients. Turnover was £17 million in the year to end of April 2002.

My client is currently looking to employ 3 Legal secretaries for their office at Tunbridge Wells. Candidates who match the following criteria are more than welcome to submit their details to be considered for the start of a very bright career.

The post offers an excellent opportunity for personal involvement in this important area of the firm. The postholder will be an experienced secretary with excellent IT skills, a team player who can show attention to detail, enthusiasm and flexibility and the highest standard of client care and effectiveness. The role will involve carrying out varied secretarial and administrative support for the legal fee earners and after initial training will include taking on most tasks with minimal guidance

Experience:

•Experience within a legal (ideally) or another professional environment
•Years of experience to match the requirements of the particular position
•Accustomed to dealing with external clients, partners and fee earners at all levels in person and on the telephone as appropriate to the level of the post
•Accustomed to delivering work to deadlines
•Accustomed to working without close supervision
•Ability to demonstrate confidentiality and integrity

Qualifications

•Solid competence and accuracy in producing audio typed work - 70 wpm typing
•Good secretarial training and qualifications equivalent to a minimum of RSA Stage II
•A general standard of education appropriate for the post, minimum of "GCSE" in Maths and English or equivalent
•Varied and advanced experience of WP and other IT systems

•Technical skills to meet the firm's standards and appropriate to post
•Excellent communication and interpersonal skills
•Flexible, energetic, organised with the ability to prioritise work and accustomed to meeting tight deadlines and working under pressure
•Team player - a follower or leader depending upon the level of post
•Technical expertise depending upon the requirements of the post
•Ability to generate own correspondence as appropriate to the post
•Appreciation of the importance of client care
•Able work through period of sustained pressure
•Able to juggle priorities
•Willingness to “go the extra mile”


IF YOU HAVE THIS SO FAR CARRYING ON READING……..

The main areas of work comprise:-

•Taking audio and manuscript work, typing back correspondence, making amendments where necessary and setting out work to a highly professional standard
•Using precedents efficiently, being able to retrieve relevant documents from the word processing system
•Keeping an effective filing system, being able to retrieve requested files and documents with minimum delay
•Running a diary system, flagging documents for review in a timely fashion
•Ensuring smooth running of diary management, taking a pro-active role in entering all court hearings and document deadlines
•Handling incoming telephone calls in an efficient and courteous manner, dealing with queries where possible and passing them on in a timely fashion as appropriate
•Making necessary travel arrangements, ensuring best utilisation of time
•Co-ordinating arrangements for visitors, including room reservations and refreshments as necessary
•Acting as a focal point for queries regarding day to day office procedures of the Department, including authorisation procedures, document layout and other general office standards
