Our client provides a complete range of IT consultancy, development and support services, allowing them to offer clients specific areas of expertise, or full end-to-end solutions. Their industry knowledge is extensive, with particular depth in finance, telecoms, utilities, manufacturing and the public sector - meaning they don't just understand the technical issues that clients face, but also the business context. The company employs approximately 900 employees in the UK (9,200 in Europe) across sites in Belfast, Dublin, Edinburgh, London, Horsham, Oxford, Birmingham, Stevenage and Glasgow. They are currently seeking an Administrator / Junior Receptionist to join the team in Stevenage. This role will also require to occasional visits to London for some training during first few months.
Your tasks will involve:
* Supporting the Senior Administrator, particularly at month-end. This will develop into assisting the Senior Administrator more directly and gradually taking on more of the role and responsibilities.
* Staffing the reception area at all times, you will be meeting and greeting all visitors to the company, providing teas/coffees, arranging elevenses, lunches, as specified.
* You will also take phone calls on Switchboard for all offices (London & Stevenage), whilst ensuring the reception area and meeting rooms are kept neat and tidy at all times.
* Preparation of documentation (eg. typing, spell checking, binding)
* Liaising with Head Office and other Regions.
* General administration and secretarial duties to include photocopying, envelope stuffing, faxing. Updating of any memo boards/phone lists.
* Ensuriing that all machinery, i.e. Fax and Photocopying machines have sufficient paper available for use. Informing the Network department (in Stevenage) in the event of a breakdown.
* Responsible for the ordering (via Corporate Services) and allocation of stationery to the unit as well as ensuring the stationery cupboard is kept neat and tidy at all times.
* Arranging CVs for new Consultants into correct company format.
* Preparation of outgoing and the sorting and distribution of incoming post from both internal and external sources. Making arrangements to courier items as requested.
* Credit control – taking ownership of the debtors report for the Region and contacting clients with outstanding invoices, allocating credit notes and liaising with Accounts.
To fulfil the role successfully, you will require the following key skills:
* Excellent interpersonal skills with a good telephone manner.
* Ability to work to strict deadlines.
* Ability to interact in a professional manner with staff at all levels, colleagues and visitors.
* Accurate word processing skills using word for windows.
* Aptitude for use of IT, particularly e-mail and Excel packages.
The following skills and attributes are also desirable:
* Educated to A-level or equivalent
* Experience of delivering front of house, reception or information services an advantage
* Any accounting or financial background would be useful eg AP or credit control.
* Well presented, professional appearance.
* Ability to maintain confidentiality and be discrete.
* Flexibility.
* Ability to work under pressure at busy times.
* Confidence when dealing with difficult situations
* Enthusiastic, keen to take on responsibility.
