This position is best suited to an energetic, committed, enthusiastic person who is keen to fulfil a pivotal role in a small, dynamic and growing business. Knowledge of project management would be an advantage.
The person must be a self-starter, reliable and dependable and be able to set and maintain high standards in their work and the functions for which they responsible. They will also need to be organised and able to assume responsibility for the presentation of the Company’s Office and the delivery of a range of office services.
Main Duties
To include but not limited to:-
· Copy and audio typing – letters, minutes, reports etc, binding documents.
· Providing secretarial support to directors, technical staff and marketing team including the bookings of meetings and boardroom
· Answering incoming calls – Siemens switchboard and correctly relaying messages through email
· Managing reception – (which will entail):-
Welcoming visitors to the office
Organising tea/coffee for guests + lunches on request for meetings
Ensuring reception is kept neat and tidy at all times
Arranging couriers on request
· Arrange travel for Directors and professional staff.
· Managing Vodafone & Orange mobile phone accounts and any staff queries.
· Monitoring stock levels of stationery and other consumables and reordering from suppliers as required.
· Day to day management of the office including management of outside suppliers and contractors and generally ensuring that the office appears clean and tidy at all times.
· Managing and developing the Company’s hot desking and “paperless office” systems.
· Assist with induction of new staff into the office systems and processes in conjunction with the IT Manager.
· Update staff records with new information.
· Update Health and Safety documents liasing through Health and Safety Officer when required.
· Responsible for keeping log of petty cash and receipts.
· Update monthly sector Journal and distribute.
· Photocopy and filing of the office.
