Our client is a global player in the IT services sector: their services keep people and information connected, from proactive business continuity through reactive disaster recovery to interactive high availability solutions, thereby helping over 10,000 clients worldwide have uninterrupted access to their business-critical information systems.
They are looking to hire an Assistant to the HQ directorate. Your role will be to support the MD, Finance Director, the European Financial Controller and the finance departments. The ideal candidate will have previous experience of working for Senior Managers / Head of Division.
Responsibilities:
- Manage diaries for FD and MD
- Monitor incoming telephone calls and correspondence and deal as appropriate
- Book the travel arrangements for FD and team, MD, European Financial Controller and team and Internal Audit
- Prepare admin support for FD, MD and (European Financial Controller and team and Internal Audit when required)
- Assist with departmental correspondence (e.g. circular letters to suppliers and customers)
- Attend and prepare minutes of Finance department meetings
- Prepare, collate and distribute monthly financial information pack
- Preparation of presentation slides for quarterly induction programme, Semi Annual Updates, Monthly Updates
- Organise and co-ordinate of Semi Annual Updates main presentation with other remote sites
- Maintain and update Finance Department & European Update pages on Insite
- Maintain an accurate and up to date filing system for FD
- Manage departmental stationery requirements to a specified budget.
- Maintain departmental holiday and sickness records
- Assist in scanning departmental documentation as required
- Undertake additional ad hoc duties as required
Educational Qualifications:
- Educated to GCSE English and maths standard or higher
Technical Expertise:
- PC literacy, very good word processing skills, ideally Microsoft Word
- Extensive knowledge of email application, ideally Lotus Notes
- Knowledge of Excel
- Knowledge of Powerpoint
