Overview: The position is a mixture of general reception duties, and dealing with the handling & administration of deliveries of goods, both in and out. There will be an opportunity to combine these routine tasks with development of the role into purchasing or sales/marketing areas for the able candidate. Accuracy and attention to detail are essential, as are good keyboard skills. The ability to touch-type and previous experience entering information onto a computer database will be helpful, but are not essential. Full training will be given. You should be familiar with basic sales documents such as delivery notes and purchase orders. Description: TELEPHONES Taking incoming telephone calls in a cheerful but professional manner. Taking and passing on messages and directing calls to appropriate people within Systems Support. RECEPTION Looking after visitors and general reception/hospitality duties, including preparing tea/coffee for meetings/visits/senior staff. Keeping reception areas tidy and welcoming, arranging product literature and making sure the premises look their best at all times. GOODS IN Checking goods in against delivery notes and checking for damage, shortages or duplications. Notifying SS staff of arrival of items to fulfil customer orders. Progress-chasing overdue deliveries. Marking up stock items. Logging product serial numbers. GOODS OUT Packing and organising the despatch of goods to delivery address and liaising with both SS staff and customers to receive such deliveries. Preparing and printing delivery documents. Organising the return of faulty/damaged goods to suppliers using the correct DOA/RMA procedures for each supplier. Chasing overdue returns. ADMIN Updating database information on incoming and outgoing orders. Helping with quarterly stock-takes and updating stock records. General photocopying, filing, distribution of faxes, etc. Printers, photocopier, fax machine ¬keep paper & consumables topped up. Responsible for outgoing post, stocks of stamps, sundry shopping. Responsible for ensuring adequate levels of stationery stocks and preparing lists of items to be re-ordered. WARRANTY RECORDS Completing customer warranty records and updating company databases with information on customers¹ hardware and software. Terms: Hours ¬ 9am to 6pm. Paid holiday ¬ 20 days + public hols. Salary range: £12,000-£13,000.
